As a general rule, BENNS only collects and processes ordinary personal data.

However, in certain cases related to travel bookings, it may be necessary for us to process sensitive personal data to a limited extent (for example information regarding special meals on your flight or special assistance needs during your trip), as well as national identity numbers (for example when obtaining a copy of your passport for visa applications), but only when necessary in order to provide the requested travel services to you.

3.1 Information About Our Customers

Information that you provide to us when booking a trip or creating a travel profile with us, for example online via our website or by contacting our travel consultants, including contact information (first name, middle name(s), surname, address, telephone number, email address, and job title), national identity number (for visa applications, etc.), passport number, bank details, payment card information, information about specific travel preferences (such as special dietary requirements, need for assistance due to disability or illness, etc.), health information (for medical travel, sports travel, etc.), information about height, weight, clothing and shoe sizes (for excursions and equipment bookings, etc.), purpose of travel, languages spoken, nationality, emergency contact information, requisition details (for business or medical travel), preferences regarding marketing or communication, and information you provide when contacting us with questions, reporting issues, or otherwise communicating with us in connection with your customer relationship.

This may also include photos for the issuance of student, teacher, or youth cards, educational institution information (ISIC only), workplace information (ITIC only), discount codes, card validity, issue date, card number, and payment details (price, payment method, date, and payment confirmation).

3.2 Information About Our Suppliers and Business Partners

Information that you provide in connection with entering into a contract or cooperation agreement, including contact details (workplace, job title, first name, middle name(s), surname, address, telephone number, and email address), preferences regarding marketing or communication, and information you provide when contacting us with questions, reporting issues, or otherwise communicating with us as part of the cooperation.

3.3 Information Related to Applications to Universities and Organizations

When you choose to apply as an intern, student, or for academic courses through BENNS, we act on behalf of the institution offering the internship, study program, or academic course. BENNS therefore processes personal data for the purposes specified by the institution — namely the collection of applications. The institution (university, organization, or other institution) acts as the data controller, while BENNS processes personal data on behalf of the institution. 3.4 Information About Participants at BENNS Events

When you choose to participate in a BENNS event, we process the following personal data about participants: first name, surname, email address, telephone number (optional), IP address (webinars only), questions asked during the event or webinar, and communication via email/telephone related to the event. We also process information regarding the event itself, such as title, content, date, time, and location.

4. What Do We Use Your Personal Data For?

BENNS processes your personal data to fulfill the purposes described below. Please note that not all purposes, categories of information, recipients, or types of processing will apply in every case.

BENNS only processes your personal data to the extent necessary in connection with your customer, supplier, or business relationship (taking into account any balancing of interests) or as required under applicable law.

4.1 Customer Administration

BENNS processes your personal data in connection with the establishment and ongoing administration of your customer relationship as part of our business operations, including travel bookings and the delivery of related services (such as visa applications, travel insurance, transfer services, student/teacher/youth card insurance, etc.), maintenance of customer records, invoicing, marketing, statistics, etc.

All statistics and analyses are prepared in anonymized form and therefore do not contain information that can be directly linked to you as an individual.

4.2 Administration of Supplier and Business Relationships

BENNS processes your personal data in connection with the administration of supplier and/or business partner relationships where you are a supplier, business partner, or contact person at a supplier or partner company cooperating with BENNS as part of our business operations. This includes maintaining our CRM database containing information about contact persons at our suppliers and business partners.

4.3 Compliance With Applicable Laws and Regulations

BENNS processes your personal data in accordance with the laws and regulations applicable to BENNS in connection with operating the business or fulfilling various reporting and disclosure obligations under applicable legislation.

4.4 Processing Related to BENNS Events

BENNS processes your personal data in connection with competitions and events organized by BENNS as part of our business operations (for example study fairs, travel events, etc.).

BENNS also organizes webinars and events to provide potential customers with information related to travel and education abroad, as well as inspiration. Personal data is processed to manage registration for the event, conduct the event, and communicate with registered participants.

BENNS does not use your personal data to make decisions based solely on automated processing, except for profiling. Profiling is a form of automated processing of personal data. We use profiling and data modeling, for example, to offer you services and products tailored to your preferences for marketing purposes.

BENNS strives to ensure that all personal data we process is accurate and up to date.

We therefore ask you to always inform us of any changes to your personal data (for example changes of address, name, telephone number, or payment information), so that we can ensure your personal data is always correct and updated.
